VetShifts Pty Ltd ACN 700 263 672 (VetShifts, we, us or our) operates a staffing platform that connects veterinary practices with locum veterinarians, veterinary nurses and receptionists.

We are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose and protect personal information when you access our website or use the VetShifts platform.

1. What we collect

We collect personal information directly from you when you create an account, complete your profile, post or apply for shifts, communicate through the platform, make or receive payments, or contact us. We may also collect information from other users in connection with shifts and automatically when you use our website or platform.

The types of information we may collect include:

  • Account and profile details - your name, email address, phone number and other information included in your profile. For locums, this may include your address, role, skills, experience, rates, availability and introductory video and personal images. For practices, this may include the practice name, address and relevant team members.
  • Professional and credential information - qualifications, professional registrations, work history, insurance details and other documents or information provided to verify your professional credentials.
  • Shift and booking records - shifts posted, applications, confirmed bookings, submitted hours, expenses, ratings and messages exchanged through the platform in connection with shifts.
  • Payment records - payments and payouts are processed by Stripe. VetShifts does not store full card details or online banking credentials but may receive and retain transaction details and limited payment or payout account information provided by Stripe, including amounts, payment status and invoice records.

When you visit our website or use the platform, we may automatically collect technical information such as your IP address, browser type and version, device information, pages visited, time spent on the site and referring URLs. We use this information to understand how users interact with VetShifts and to improve the performance and security of the platform.

2. How we use your information

We may use personal information to:

  • create and manage user accounts and subscriptions;
  • verify professional registrations, qualifications and other credentials;
  • operate the platform, including matching locums with shifts, managing applications and bookings, notifying users about shifts and bookings, generating invoices, processing payments and payouts, and maintaining records of shift activity;
  • communicate with users and provide customer support;
  • investigate and resolve questions, complaints or disputes relating to shifts or use of the platform;
  • prevent fraud, misuse and security incidents;
  • improve our website, platform and services; and
  • comply with legal, regulatory, accounting and record-keeping requirements.

We do not sell your personal information and do not use it for third-party advertising.

3. Who we share information with

We may disclose personal information to:

  • other VetShifts users, where necessary to facilitate a shift. For example, a veterinary practice may see relevant information from a locum's profile when they apply for or accept a shift, and a locum may see relevant information about the practice and shift;
  • service providers that help us operate VetShifts, including website and infrastructure hosting providers, payment processors such as Stripe, communications providers and analytics services;
  • professional advisers, such as accountants, lawyers and insurers, where reasonably necessary; and
  • regulators, government authorities or other parties where required or authorised by law.

We only share information that is reasonably necessary for the relevant purpose and take reasonable steps to use reputable service providers that handle personal information securely and appropriately.

4. Data security

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure.

These measures include secure systems and hosting, restricting access to personal information and maintaining appropriate security updates and safeguards.

No method of storing or transmitting information electronically is completely secure, and we cannot guarantee the absolute security of personal information.

We use cookies and similar technologies to operate our website and platform and enhance your browsing experience. We also use Google Ads cookies to measure the performance of VetShifts advertising, including visits to public pages and successful enquiries or registrations. Google may receive technical information, including your IP address, browser information and advertising cookie identifiers. We do not send your account details, form contents or invitation links to Google Ads, or enable personalised advertising.

6. Access, correction and your choices

You may request access to the personal information we hold about you and ask us to correct information that is inaccurate, out of date or incomplete.

You can view and edit certain profile information through your account settings. You may also contact us to request access to or correction of your information, request deletion of your account or personal information, or opt out of non-essential communications.

Requests for deletion are subject to any information we are required or reasonably need to retain for legal, accounting, fraud prevention, dispute resolution or other legitimate operational purposes.

7. Data retention

We retain personal information for as long as reasonably necessary to provide our services and meet our legal, accounting, dispute resolution and record-keeping obligations.

When personal information is no longer reasonably required, we take reasonable steps to delete or de-identify it.

8. Australia, New Zealand and overseas processing

VetShifts is operated from Australia and handles personal information in accordance with applicable Australian privacy laws, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply.

Where New Zealand privacy laws apply, we also handle personal information in accordance with the Privacy Act 2020 (NZ).

Some of our technology and service providers may store or process personal information outside Australia or New Zealand. Where this occurs, we take reasonable steps to ensure that personal information is handled appropriately and in accordance with applicable privacy laws.

Where practicable, we will identify in this Privacy Policy the countries in which overseas recipients of personal information are likely to be located.
